We have an exciting and unique opportunity to join Employee Success as an Executive Assistant supporting three VP leaders across EMEA. Your impact will span executive operations, strategic projects and cross-functional initiatives.
Responsibilities:
- Calendar Governance: Masterfully manage and optimize the calendars of three EMEA VPs, balancing competing priorities, shifting deadlines, and timezone complexities across a global matrix. Serve as a strategic gatekeeper, assessing the urgency of incoming requests to ensure the VPs' time is strictly focused on their key priorities.
- Global Travel Logistics: Coordinate complex, global travel itineraries, including flights, accommodation, visas, and local transport.
- Financial Administration: Seamlessly manage, reconcile, and submit monthly expense reports and purchase orders in compliance with corporate policies and timeframes.
- Meeting Lifecycle Management: Proactively manage the end-to-end logistics for leadership meetings, including agenda setting, briefing materials preparation, room/virtual setup, and tracking actionable next steps.
- Executive Communication & Cascading Updates: Draft, review, and refine communications. Serve as a key conduit for information flow, effectively cascading key business updates and announcements to the wider team on behalf of VPs.
- Cross-Functional Collaboration: Serve as a bridge between the VPs and internal/external stakeholders, representing the "OneES" brand with a high bar for excellence and collaboration.
- Event & Offsite Planning: Support the planning and execution of team Townhalls, strategic leadership offsites, QBR's, team-building events, and workshops.
- Culture & Engagement Champion: Actively champion the "OneES" culture across EMEA by designing and organizing impactful team events that foster connection and collaboration. Drive engagement by coordinating VTO initiatives and celebrating key business dates, team milestones, and key moments across the fiscal year.
- Project Support: Support work-streams, tracking milestones, and ensuring timely delivery of projects.
Required Qualifications:
- Proven experience as an Executive Assistant supporting senior leaders (VP+) within a fast-paced, global software or technology organization.
- Demonstrated experience managing complex, multi-stakeholder calendars and intricate global travel logistics across a matrix organization, multi-timezone environment.
- Proficient in adopting AI tools and technologies to streamline ways of working, maximize productivity, and optimize daily executive operations.
- Strong verbal and written communication skills, with the ability to draft executive-ready updates and interface confidently with senior executives, internal stakeholders, and external partners.
- Exceptional attention to detail, organization, and process execution, with a proven ability to manage competing priorities and pivot seamlessly in a dynamic environment.
- A proven track record of exercising impeccable judgment and discretion when handling highly sensitive and confidential information.
- A collaborative mindset with experience working effectively within large, cross-functional administrative teams to drive collective success.
- Highly proficient in Google Workspace (Gmail, Docs, Sheets, Presentations, Drive) and virtual meeting platforms (Meet, Zoom & Webex.
