Compensation

  • Base $74K – $86K • Offers Equity

The above sets forth the annual base salary range in USD for this role exclusive of any discretionary bonus that may be awarded. Actual compensation will be based on an assessment of factors including the successful candidate’s location, experience, skill, and other job-related factors.

Position Summary

The Sales Tax Analyst role is responsible for maintaining and optimizing the sales tax automation platform, managing sales tax registrations and certifications, validating order management data, processing sales tax returns, engaging with tax authorities, and supporting reporting requirements. This position ensures compliance with sales tax regulations, accurate customer billing, and efficient order-to-cash workflow.

This position reports to the Corporate Controller and works closely with the accounting, billing, and customer service teams.

Key Responsibilities

Software Platform Administration (8%)

  • Maintain the sales tax automation platform (Avalara), including automated registration processes.

  • Understand the billing transaction workflow between accounting ERP (NetSuite) and billing platform (Stripe).

  • Understand and manage the sales tax exemption workflow.

  • Identify processing errors and follow up with platform support staff for resolution.

  • Process sales tax returns.

  • Own system administration responsibilities (user ID management, access rights, deprovisioning).

Sales Tax Registration (10%)

  • Maintain active state sales tax nexus registrations.

  • Follow up with sales tax authorities on any registration issues.

Customer Outreach (30%)

  • Manage the sales tax certification process as part of customer onboarding.

  • Proactively contact historical and newly onboarded customers to obtain sales tax exemption certificates.

  • Manage customer outreach KPI metrics (e.g., percentage of customers with sales tax exemption certificates on file).

  • Resolve customer disputes related to sales tax charges and process refunds as necessary.

Order Management Data Validation (30%)

  • Review sales order transactions by state, customer, and within accounting ERP (NetSuite) and billing platforms (Stripe).

  • Understand sales tax nexus thresholds in each state.

  • Validate that sales order transactions are processed completely and accurately.

  • Proactively reach out to sales tax platform support team to resolve transaction processing issues.

  • Process customer refunds.

Sales Tax Returns Processing (10%)

  • Prepare sales tax returns using the sales tax platform.

  • Review tax returns for accuracy and completeness.

  • Review cash bank statements to ensure payment of sales tax returns.

  • Collaborate with third-party providers for any external sales tax returns processing.

Engagement with Sales Tax Authorities (2%)

  • Review communications from tax authorities.

  • Respond to all inquiries from tax authorities.

  • Coordinate all sales tax audits.

Reporting (10%)

  • Maintain accuracy of the order-to-cash process.

  • Complete workpaper documentation for the monthly close process.

  • Ensure each customer is billed accurately, and invoices are collected in a timely manner.

  • Coordinate reporting of SaaS financial metrics (bookings, MRR, ARR, etc.) and discuss with management monthly.

  • Contribute to the monthly financial close process, including performing reconciliations and preparing schedules.

  • Manage ASC606 revenue recognition policies and reconciliations.

Qualifications

  • Experience with sales tax platforms such as Avalara and ERP systems like NetSuite.

  • Strong understanding of sales tax regulations and exemption processes.

  • Excellent communication and organizational skills.

  • Detail-oriented with analytical problem-solving abilities.

  • Bachelor’s degree in Accounting, Finance, Business Administration, Information Systems, or related field preferred.

Compensation Range: $74K - $86K
