What you'll do

We are looking for a dynamic and hardworking Administrative Assistant to join our Product Organization. This role supports Product leaders and will be responsible for Vice Presidents in the organization.

As an Administrative Assistant, you will play a pivotal role, not only in keeping the Product organization running smoothly and efficiently, but inspiring morale and team-building. Our ideal candidate is highly organized, proactive, and collaborative. Using your excellent communication skills and multitasking abilities, you'll effectively help optimize your executives’ time and bring value for the organization.

This position is an individual contributor role reporting to the Vice President of Product Management.

Responsibility

  • Provide extensive support to two VPs in Product, and additional VPs to be determined, including prioritization of calendars with effective communication across various collaborators (especially Administrative colleagues), paying close attention to details such as remote locations, time zones, and any technical needs
  • Handle travel arrangements and timely filing of expense reports
  • Track departmental Time & Expense budget, timely reconciliation of Purchasing card, and partnering with budget operations and Finance
  • Coordinate logistics for off-site or virtual meetings and team-building events
  • Maintain updated team alias or distribution lists, Slack channels, and shared team folders
  • Support the onboarding of new members of the team
  • Provide both routine and non-routine administrative support to management and/or department, handling high volume of competing administrative task requests that require professional discernment on appropriate prioritization to complete, including conference registrations, managing technical- and facilities-related issues, ordering office supplies, and other tasks as needed
  • Take initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole
  • Handle details of confidential and critical nature
  • Track programs such as recognition, awards, celebrations, etc.
  • Partner with the EA to the CPO and other admins, backing each other up as needed

Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic

  • 2+ years of experience in an administrative support role
  • Experience supporting 100+ employee organizations
  • Experience with purchase order, financials, and headcount
  • Experience performing project or program management activities

Preferred

  • Experience working at medium to large companies
  • Enthusiastic and self-motivated with an aptitude for working in collaborative team environments, a focus on proactive communication, relationship building skills, and resiliency
  • Curiosity and proactive learning approach to support continuous growth both personally and for the business
  • Strong communication skills, verbal and written
  • Ability to collaborate well with the broader administrative team
  • Highly organized and meticulous
  • Clarified and confident ethical standards that guide decision making in ambiguous circumstances in your everyday work
  • Agile and flexible in response to changing priorities and needs with the ability to adjust quickly where work is generally non-routine in nature and is performed using individual discretion under minimal supervision (balanced with willingness to request clarification or assistance when difficulties arise)
  • Ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around times and client service
  • Experience with Zoom, Concur, Oracle, and Slack applications
  • Proficiency with Google Workspace applications

Wage Transparency

Based on applicable legislation, the below details pay ranges in the following locations:

Washington and New York (including NYC metro area): $35.77/hour - $49.73/hour base salary

This role is also eligible for bonus, equity and benefits.
