ABOUT THE ROLE

We are looking for an experienced, passionate, and critical-thinkingProduction Assistant who will support our Global Production team in all aspects of production to ensure high-quality experiences are delivered. This person will support across our development and delivery strands of the production, as well as providing administrative support to the Executive Producer.

This role requires high levels of organisation and attention to detail, and an ability to manage several projects simultaneously and prioritise effectively. The ideal candidate has been a Production Assistant for at least two years in a relevant industry and looking to take their next step in their career.

Candidates should be passionate about delivering results and producing fun and entertaining experiences for all ages. Strong communication skills are critical to success in this role. The right candidate will be a self-starter and have strong interpersonal skills and feel comfortable communicating with both internal colleagues and external clients and suppliers.

You will:

  • Coordinate and manage all travel and accommodation bookings for the Global Technical teams.
  • Support the Operations Manager with local recruitment (globally), including posting job adverts, collating CVs, filtering candidates to set criteria and scheduling interviews.
  • Diary management including scheduling meetings for the Global Production, Technical Production and Creative teams.
  • Taking minutes for weekly production meetings and circulating approvals and actions.
  • Responsible for keeping the global shared drive organised and up to date at all times.
  • Coordinating and issuing NDAs for new venues , contractors or suppliers.
  • Supporting the Creative department with drafting creative decks and uploading submissions for studio approvals.
  • Handle financial administrative duties including raising purchase orders, data entry and tracking purchase orders and payments. Communicate and collaborate with internal cross-functional teams and stakeholders to drive alignment and execution of event deliverables.
  • Domestic and international travel and work across time zones may be required.
  • Taking ownership of Global Production Team admin - including organisation of shared drive folder, arranging team socials, birthday cards and leaving gifts as required.

QUALIFICATIONS

You have a successful track record as a Production Assistant in live events or entertainment with strong oral and written communication skills. You thrive in a fast-paced environment and pride yourself on your flexible, detailed, systematic approach to tasks.

Candidates need to be passionate about the entertainment/events industry and understand the importance and impact of the coordinator’s role on the wider delivery of the production. You must be comfortable delivering results under pressure and at short notice , be exceptionally detail-oriented, and be able to think about how we can work more efficiently and cohesively as a team.

  • At least 2+ years of experience in the live event production or entertainment industry as a Production Assistant.
  • Ability to effectively prioritise tasks and manage multiple projects at any given time
  • Have an innovative and solution-focused mindset to identify problems and find creative solutions
  • Have a strong logistics planning skill in relation to Travel and Accommodation booking on a global scale.
  • Have a basic understanding of technical production requirements and fabrication techniques
  • Curious, with an appetite for learning, keen to push boundaries and try new concepts, and the ability to pick up new skills quickly
  • Experience in outdoor events and/or large-scale events is a plus
  • Experience working with major studios or IP holders would be an advantage.
