Who we’re looking for:

We’re looking for an RFP & Proposal Manager to own the end-to-end coordination, administration, and content management of all RFX processes - including RFIs, RFPs, due-diligence questionnaires, and security/privacy/compliance assessments.

In this role, you’ll serve as the Tier-1 engine of our RFX workflow: assembling first drafts through Loopio and our internal knowledge bases, coordinating SMEs for refinement, and ensuring that submissions are accurate, high-quality, and on time.

You won’t need to be a subject matter expert in security, privacy, or legal - but you will need strong process skills, excellent attention to detail, and the ability to apply existing content and route open questions to the right teams.

This position plays a critical part in enabling Sales, Legal, Privacy, and Security to operate efficiently at scale.

Responsibilities

RFX Process Ownership (Tier-1 Coordination)

• Own and manage the full lifecycle of RFPs, RFIs, and due-diligence questionnaires.

• Use Loopio and other AI or documentation tools to create first-draft responses (80–90% completeness).

• Track and manage all documentation, versions, deadlines, and submission materials.

• Upload and manage responses in procurement portals such as Workday or Ariba.

Content & Knowledge Management

• Maintain and update the Loopio knowledge base, including historical responses, updated messaging, and SME-validated answers.

• Structure and tag content to support quick retrieval and automation.

Cross-Functional Coordination

• Coordinate with SMEs (Security, Privacy, Legal, Product, Engineering) for clarifications, refinements, and sign-off.

• Maintain SLAs and communicate timelines clearly with AEs and stakeholders.

Quality Control

• Ensure responses are consistent, accurate, aligned to approved messaging, and compliant with submission guidelines.

Process Improvement

• Identify bottlenecks and implement improvements.

• Partner with Product, Security, and Privacy teams to integrate new capabilities or policies into Loopio.

• Help define and optimize a scalable Tier-1/Tier-2 operating model.

Requirements

• 2–5 years of experience in RFP coordination, proposal management, GTM operations, PMO, technical writing, or technical support.

• Strong process management skills and attention to detail.

• Experience with content-library tools (Loopio, Qvidian, RFPIO, etc.) - advantage.

• Ability to learn and apply technical concepts (security basics, SaaS architecture fundamentals).

• Excellent English writing and editing skills.

• Strong communication and cross-functional collaboration abilities.

• Ability to manage deadlines across teams and functions.

• Background in a startup or SaaS company - preferred.
