Job Snapshot
The Executive Assistant to the CEO will play a critical role in ensuring the CEO's time is maximized and operations are streamlined. This position requires a high level of discretion, initiative, and professionalism. The ideal candidate will be a masterful communicator, adept at managing multiple priorities, and possess a keen attention to detail. This role will also support calendar management and travel for the COO, and additionally Travel support for the C team.

  • Administrative Support:
  • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with the utmost discretion.
  • Organize and maintain files and records, ensuring all documents are easily accessible.
  • Communication Management:
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and prioritize emails, phone calls, and other communications.
  • Draft and distribute meeting agendas, minutes, and follow-up action items.
  • Meeting and Event Coordination:
  • Plan and coordinate executive meetings, including logistics, agenda preparation, and material distribution.
  • Assist in organizing company events, conferences, and executive off-sites.
  • Ensure meeting rooms are prepared and equipped with necessary materials and technology.
  • Project Management:
  • Assist the CEO in tracking and managing various projects and initiatives.
  • Conduct research and compile data to support decision-making processes.
  • Collaborate with other departments to ensure timely and successful project execution.
  • Operational Efficiency:
  • Identify opportunities to improve administrative processes and enhance efficiency.
  • Maintain and update contact lists, databases, and organizational charts.
  • Manage expense reports and budgets related to the CEO's office.

We’d love to hear from you, if you:

  • Have a bachelor's degree in Business Administration, Communications, or a related field.
  • Possess 5+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Have exceptional organizational and time-management skills.
  • Have strong written and verbal communication skills.
  • Are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Have the ability to work independently and handle multiple tasks simultaneously.
  • Have a high level of integrity and discretion in handling confidential information.
  • Possess excellent interpersonal skills and the ability to build relationships with stakeholders at all levels.
