Job Description

In the EMEA payroll team, we are responsible for the salaries of our colleagues from 40 countries in EMEA. We serve approximately 6,000 employees. They are located in multiple countries, including Poland, Denmark, and Austria. These countries also include Belgium, the Czech Republic, Germany, Italy, Israel, Sweden, South Africa, Turkey, the UK, and the Middle East countries. The primary mission of our department is to ensure that all employees of the EMEA Rockwell region receive correct compensation following applicable legal regulations and company policy.

We are looking for a Senior Payroll Specialist & Payroll Expert who will manage the daily support of our employees in Rockwell in Poland. Our team includes committed and passionate people. They are responsible for EMEA countries, some of them in the country's native language. They specialize in project management and implementing improvements in the team's work with EXCEL, Power Query, Power BI.

You will report to the Payroll Team Lead.

You will work hybrid in Katowice, Poland.

Your Responsibilities:

  • Senior Payroll Specialist:
    • Communicate with external payroll vendors to deliver and control payroll data. Ensure outputs meet company standards. Work with external payroll vendors to ensure seamless delivery of payroll services to employees.
    • Perform and oversee payroll services, guaranteeing, accuracy, and adherence to compliance standards.
    • Prepare and verify necessary documentation, declarations, and reports for several authorities and institutions.
    • Address and resolve internal clients' inquiries regarding payroll matters.
    • Manage data integrity across multiple systems including Workday.
    • Identify opportunities to improve payroll processes through automation and AI-driven tools.
    • Address and resolve issues related to outsourced payroll services.
    • Keep track of deadlines and maintain payroll processes following work regulations, labor law, internal audit procedures.
    • Maintain efficiency during peak periods such as month-end, quarter-end, and year-end closings.
  • Payroll Expert:
    • Identify main areas and processes requiring improvement, documentation, backup, or additional support with the Team Lead/ Payroll Manager.
    • Be a subject matter expert by learning new processes, driving improvements, creating documentation, training payroll staff, and being a backup.
    • Manage recurring payroll processes, reporting, and audits of moderate to high complexity, risk, or scope.
    • Develop expertise in payroll and HR data; validate requirements, design and run reports, and manipulate data.
    • Lead research and resolution of complex payroll and compliance issues; document procedures and train payroll staff.
    • Review payroll processes to ensure they remain up to date.
    • Implement process improvements.
    • Escalate issues to management to prevent delays.

The Essentials - You Will Have:

  • Bachelor's degree in finance or related field or equivalent experience.
  • Minimum 5+ years of experience.
  • Knowledge of payroll regulations and statutory requirements.
  • Demonstrated openness to adopting new technologies, including automation tools.
  • Knowledge of Excel.
  • Polish and English at professional level (speaking and writing).

The Preferred - You Might Also Have:

  • Previous payroll experience, with shared services experience.
  • Understanding of global payroll platforms (e.g. Workday, ADP).
  • Previous experience or knowledge related to implementing Payroll processes.
  • Experience in French or Italian, Dutch payroll processes.
  • Any of additional language (especially French, Italian, Dutch or other European language).
  • Knowledge of Power BI and Power Query.
