Job Description
As Sales and Administrative Support assistant you will provide high-level administrative support to senior leadership while managing front-of-house operations and coordinating facilities services for the Dublin office.
You will be located in Dublin and you will report to Managing Director.
The Responsibilities - you will do:
Executive Support
• Provide advanced administrative support to the Managing Director and leadership team.
• Prepare reports, presentations, correspondence, and briefing materials, often of a confidential nature.
• Maintain and update executive calendars; schedule internal and external meetings.
• Arrange domestic and international travel, ensuring documentation is up to date.
• Anticipate information needs and ensure the executive is prepared for meetings and commitments.
Reception & Front-of-House
• Act as the primary point of contact for visitors, clients, and vendors.
• Manage the reception area, ensuring a professional environment.
• Answer incoming calls, direct queries, and support general customer service needs.
• Coordinate incoming/outgoing post, courier services, and deliveries.
Facilities & Office Administration
• Coordinate office maintenance, supplier relationships, and building management requests.
• Maintain office supplies, equipment, and meeting room readiness.
• Oversee health & safety processes such as fire warden coordination and first-aid supplies.
• Support onboarding for new employees, including desk setup, IT coordination, and access requests.
• Assist with planning onsite/offsite meetings and events.
The essential - you will have:
• 2+ years' experience in administration, reception, facilities coordination, or executive support.
• Knowledge in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Well-developed communication skills
• Ability to manage confidential information.
Required education: High school.
The preferred - you might also have:
Experience supporting senior executives in a corporate environment.
• Advanced Excel and PowerPoint skills.
• Experience with facilities, health & safety procedures, or vendor management.
• Knowledge of Irish workplace practices and basic compliance requirements.
