Job Description
You will be responsible for multiple Office Administrative Services and Employee Transport services, supporting the Facility Manager to manage overall workplace-related services at the location. Plan for facilities changes, for office layouts, working toward economy of operation, maximum use of facilities and equipment, and compliance with laws and regulations. Develop criteria and performance specifications required to meet unique operating requirements and building and safety codes.
You will report to Facility Manager.
Your Responsibilities:
- Planning and managing Facility Operations
- Seat planning and allocation
- Management of day‑to‑day operations of the facility, including housekeeping, security, HVAC, electrical, plumbing, and general maintenance.
- Manage preventive and corrective maintenance activities.
- Maintain records of equipment, AMC contracts, service logs, and compliance documents.
- Respond promptly to facility-related requests or breakdowns.
- Perform routine facility inspections to ensure cleanliness, functionality, and safety.
- Monitor facility performance
- Maintenance & Repairs
- Vendor & Contract Management
- Manage external vendors for housekeeping, security, technical maintenance, pest control, waste management.
- Review vendor performance; ensure adherence to service-level agreements.
- Help procure facility-related materials and services.
- Workplace Support
- Management of meeting rooms, pantry services, mailroom, and front-desk operations (if applicable).
- Ensure smooth onboarding/offboarding support related to workplace services.
- Health, Safety, & Compliance
- Ensure compliance with fire safety, building codes, environmental standards, and statutory requirements.
- Conduct or support safety audits, drills, and emergency preparedness activities.
- Maintain documentation for ISO, EHS, or other certifications.
- Budgeting and Reporting
- Assist with facility budget planning, cost control, and expense tracking.
- Prepare reports related to facility performance, incident logs, utilities, and maintenance activities.
- Employee Experience: Address employee concerns related to the workplace promptly.
- Drive initiatives to improve workplace comfort, sustainability, and efficiency.
Office Administrative Services:
- Arrange all meetings, VIP visits, Clients and organising the consumables and supplies for the meeting
- Work with the Housekeeping vendor/Team to ensure maintain the standards of cleanliness, upkeep, hygiene.
- Take rounds of the facility to identify issues in and initiate immediate rectification actions
- Routine Inspection of all services to ensure standards are being maintained
- Managing Pantries for stacking of Tea/Coffee, water supplies, cleanliness and uptime of vending machines. Stock maintenance and ensure all time availability of the same
- Preparing the Daily/Weekly and Monthly reports
- Collecting all documents from the vendor for compliance audit
- Effectively manage and co-ordinate with Property Team to guarantee an on-time deliveries and fulfillment of the requirements in the Building/Campus
- Manage the Daily administration, including reports generation, stocks tracker
- Muster all the housekeeping staff of the shift before deployment and communicate the priorities of the day
- Oversee the pantry equipment and reprographic equipment operations and identify issues and take necessary actions
- Communicate to the Facility Team/In-charge all incidents, issues and pending problems in periodical briefings
- Indent monthly requirements for Soft services Housekeeping material, Toiletries, Pantry material following the month's budget.
- Periodic briefings and trainings to Vendor staff Training
- Maintain Assets of the Organization and maintaining the Asset Register Vendor management
- Grooming and real-time monitoring of the services and periodic reviews and ensure adherence to Service level agreement
- Carrying out Vendor Background Checks
- Process vendor Invoices with due diligence
The Essentials - You Will Have:
- Minimum 3 -10 Years of experience.
- Education - Bachelor's degree.
- Experience in property, building or facilities management
- Experience in use of Transport Technology, Monitoring usage of the same
- Written & verbal communication, problem solving skills and ability to work with multiple client staff
- Experience with procurement and service improvement programs Knowledge of Occupational and Transport safety requirements and ability to manage daily activities using multiple systems
- Collaborate with other team members and departments, The ability to collaborate with, learn from colleagues in a complex, global organization.
- Experience managing budgets & contracts
- Need based ready to work for extended hours, after office hours, holidays.
