Job Description
Job Summary
The Business Coordinator manages daily administrative and operational activities of the office in India. You will ensure smooth office functioning by coordinating administrative tasks, supporting management and leadership team, complying with local statutory requirements, and maintaining effective communication with relevant internal stakeholders. You will report to the DIRECTOR- INDUSTRY AND OEM, ASIA PACIFIC and have a hybrid schedule working in Noida, India
Your Responsibilities

Office Administration & Operations
Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties.
Scheduling/coordinating meetings, diaries, and travel arrangements. Work is generally of a critical or confidential nature.
Assignments may be found in various functional areas.
Coordinate and support travel arrangements. Include making flight, hotel, visa and local transport arrangements.
Draft, format, and maintain official correspondence, reports, and presentations
Manage calendars for stakeholders i.e., Directors, Managers

Records & Documentation
Maintain physical and digital filing systems in compliance with company policies
Handle confidential documents with discretion
Maintain vendor contracts, office licenses, and statutory records
Assist to process T&E claim via Concur
Perform shopping cart for department
Real time update of Management Movement Chart and SOP in sharepoint
Real time update of Department Organization Chart in Team
Set up meetings, secure of booking rooms, Minutes taking at weekly Department meeting, create slides and reports

Vendor & Facility Management
Coordinate with vendors for office supplies, stationery, pantry, housekeeping, security, and maintenance
Raise purchase requests, track invoices, and follow up on payments
Liaise with building management, landlords, and service providers
Assist with Vendor Registration Process.

Finance & Compliance Support
Assist accounts team with invoice processing, expense claims, and petty cash management
Coordinate GST-related documentation for vendors (invoices, GST numbers, etc.)
Support audits by maintaining records and coordination

Coordination & Communication
Act as a point of contact between internal teams, management, and external stakeholders
Follow office policies and administrative procedures, and communicate to ensure they are followed.
Provide general administrative support to leadership as required
Ensure consistent, and effective delivery of information and assignment between and managers and department
The Essentials - You Will Have:
Education background - Any Full time
At least 5 years' relevant experience in administrative field
Experienced in Minutes Writing, Travel Arrangement
We will prefer candidates proficient in Microsoft tools - Outlook, Word, PPT, Excel.
Experience in Concur, Shopping Carts, Meal arrangements will be an added advantage
Knowledge of local language(s)
