Position

Title: Operations & Office Administration Specialist

Location: Cluj-Napoca, Cluj

Pay Transparency: 75K to 90K Ron

Job Summary: The Operations & Office Administration Specialist is responsible for supporting the smooth day-to-day functioning of office operations, employee administration, recruiting coordination, facilities management, and selected finance and accounting activities. The role acts as a key point of contact for employees, managers, vendors, and external partners, ensuring administrative accuracy, operational continuity, compliance with internal processes and local requirements, and a positive workplace experience.

What you will do

  • HR & Employee Administration – Prepare and maintain employee documentation for new hires, salary and personal data addendums, employee files, payroll input reports, meal ticket orders, benefits enrollment, onboarding support, and administrative compliance documentation.
  • Employee Support & Coordination – Serve as a point of contact for employees on day-to-day administrative and workplace matters and collaborate with HR, Finance, hiring managers, vendors, and building administration to ensure smooth execution of operational processes.
  • Recruiting Coordination – Coordinate interview scheduling, support onsite interview planning, maintain candidate availability records, and track recruitment stages, offers, and feedback.
  • Finance & Administrative Support – Support primary accounting activities by processing invoices, preparing the Payment Worklist, reimbursement forms, monthly funding reports, and bank payment documentation, while maintaining accurate administrative and financial records.
  • Facilities & Workplace Operations – Oversee daily office operations, vendor coordination, security-related administration, maintenance scheduling, office supply and snack orders, fire drill coordination, cleaning services follow-up, and customs-related correspondence for international shipments.
  • Employee Experience & Engagement – Help maintain a productive and well-organized office environment and support employee engagement initiatives such as informal gatherings, team-building activities, and company events.

What makes you an ideal candidate

  • Min 4+ years of experience in office administration, operations support, employee administration, or a related field
  • Good understanding of administrative processes, records management, and document accuracy requirements
  • Experience supporting finance, invoice processing, or reimbursement-related activities is an advantage
  • Experience coordinating vendors, maintenance activities, and workplace services is an advantage
  • Proficiency in Microsoft Office tools and common business systems
  • Ability to manage multiple priorities in a dynamic environment
