Job Description: Travel, Infrastructure & Facilities Executive
Function: Central Administration & Facilities
Location: Bangalore, HSR Layout
Role Objective
To manage end-to-end corporate travel and bookings as the primary responsibility, while also overseeing general office administration and facilities management to ensure smooth, cost-effective, and compliant operations across offices.
Key Responsibilities
A. Travel & Bookings Management
- Act as the single point of contact for all corporate travel requirements
- Manage end-to-end flight, hotel, cab, and local transport bookings for employees and leadership
- Handle last-minute changes, cancellations, rebookings, and emergency travel support
- Coordinate with travel agencies, airlines, hotels, and cab vendors for bookings and service delivery
- Ensure adherence to company travel policies, cost limits, and approval processes
- Maintain accurate travel MIS, booking trackers, and cost reports
- Coordinate with Finance for travel billing, invoice validation, and timely settlements
- Ensure a smooth and hassle-free travel experience for employees across locations
B. Central Administration & Facilities Management
- Manage day-to-day general office administration including housekeeping, security, pantry, and office maintenance
- Ensure offices are well-maintained, operational, and compliant with safety norms
- Coordinate upkeep of IT, internet, power backup, utilities, and office infrastructure
- Handle office readiness for new joiners, leadership visits, and business requirements
C. Vendor Management & Cost Negotiation
- Onboard, manage, and review vendors for travel, facilities, utilities, and office services
- Lead price negotiations for travel, utilities, housekeeping, security, internet, and other services
- Ensure SLAs are met and resolve vendor-related escalations
- Drive cost optimization initiatives across travel and facilities spend
D. Billing, Payments & Compliance
- Validate vendor invoices related to travel, utilities, and facilities
- Ensure timely payment settlements in coordination with Finance
- Maintain documentation for audits, contracts, and vendor agreements
- Track renewals, AMC agreements, and service contracts
Skills & Competencies
- Strong coordination and multitasking skills
- Proven experience in corporate travel bookings
- Vendor negotiation and cost-control mindset
- High attention to detail and ability to manage urgent requests
- Clear communication and stakeholder management skills
Qualifications & Experience
- Graduate in any discipline
- 1-4 years of experience in travel desk, admin, or facilities management
- Hands-on experience managing corporate travel vendors and bookings is mandatory
