The Workplace Services Specialist will support and oversee various aspects of the WPS managed office environments, facilities infrastructure, administration, hospitality, safety & security, financials, software applications, and ad-hoc projects within the Squarespace organization.

As a team leader and advisor reporting into the Director of Workplace Services, you will be responsible for but not limited to direct ownership of assigned projects, tasks, administrative reporting, process improvement, procedure alignment and research for related activities within your scope of work. In this role, no two days are ever the same. You'll use your knowledge, diligence and creativity to promote ideas, execute plans, follow protocol, manage vendors & projects, add value to services offered, engage with our award-winning office culture.

You'll Get To…

  • Manage vendor relationships (existing and new) and contract services including but not limited to: sustainability, software applications, space management, co-working, satellite office needs, landlords, property managers and facilities management partners
  • Lead aspects of sustainability programs, co-working (Agile) program, inter departmental reporting, communications triage, short- and long-term planning and execution of WPS related projects both small and large
  • Update and organize our internal documentation, the WPS drive, hub, software applications and admin tools
  • Lead presentation development, create project budgets and report on cost controls, as well as issue and facilitate RFPs for WPS related contract services
  • Support our safety and security program including but not limited to access cards, S2, badge reporting, communication, life safety projects and drills, incident reporting and vendor management
  • Support aspects of our financial reporting, budget management, cost controls and allocations
  • Support aspects of our hospitality programming locally and globally
  • Support HQ WPS team and onsite activities as needed
  • Create and maintain standard operational procedures for various WPS functionality
  • Develop and lead process mapping and support internal applications and manage aspects of related WPS service offerings
  • Oversee elements of work order & our service desk operation including but not limited to- work order management, analytics, and reporting
  • Partner with WPS team members on ad-hoc projects including but not limited to hospitality, security, communication, space planning and industry research
  • Assist and oversee aspects of day to day office operations and compliance aspects of our physical site needs

Who We're Looking For

  • 3-5 years of customer service and/or office management experience demonstrating progressing responsibilities
  • Read and interpret technical documents including drawings, as builts, renderings, submittals, proposals, contracts, user manuals, etc.
  • Working knowledge of commercial office operations, food service, access control, cost controls, hospitality environments and sustainability best practices
  • Demonstrated experience leading negotiations with and managing external vendors
  • Ability to work cross-functionally, high level of autonomous execution, with a focus on hospitality and address employee requests with utmost courtesy
  • "In office" role with occasional non-business hours coverage to support projects, events and emergencies according to business needs.
  • Physical Requirements can include prolonged periods of sitting/standing at a desk, use of a ladder and lifting and/or carrying heavy loads (25-50 lbs) for short distances.
  • Experience with Google Suite, Jira, BMS systems, Officespace, and/or PlanGrid

Cash Compensation Range: $64,500-$103,500 USD

The base salary for this position will vary based on job-related criteria including relevant skills, experience, and location, among other factors.

In addition to the cash compensation above (which includes base salary and, where applicable for eligible roles, may include on-target commissions or overtime pay), all Squarespace employees are eligible to receive equity in the company as part of their total compensation.
