In This Role, You Will:
• Own execution of the trade show playbook checklist across assigned events, ensuring deadlines, dependencies, approvals, and deliverables are completed accurately and on time
• Partner with sales, marketing, operations, and other cross-functional stakeholders to keep all trade show initiatives aligned, communicated, and moving forward from kickoff through post-show wrap-up
• Help improve trade show processes and overall program effectiveness by identifying opportunities to streamline planning, increase consistency, and drive stronger ROI across the event portfolio
• Use AI as a day-to-day planning companion to build timelines, surface risks, organize task lists, draft communications, summarize exhibitor requirements, and support faster decision-making throughout the event lifecycle
• Track and maintain core event logistics and administrative requirements, including budgets, show calendars, booth bookings, payment status, exhibitor listings, priority points, memberships, and sponsorship details
• Serve as a primary liaison with show organizers, exhibitors, sponsors, and internal stakeholders to ensure timely communication, clear next steps, and a strong overall event experience
• Own sponsorship fulfillment from intake to execution, including outreach, collection of specifications, deadline management, internal coordination, and delivery against contracted benefits
• Support booth readiness by coordinating onsite materials, assets, shipping inputs, lead capture needs, and sales support requirements in alignment with the trade show playbook
• Prepare onsite teams for success by organizing pre-show readiness, sharing event-specific guidance, and using AI-supported briefing tools to help teams arrive informed and aligned on goals, messaging, and logistics
• Track trade show performance and produce post-event recaps, status updates, and reporting for management, using AI to accelerate insight generation, highlight trends, and recommend improvements
• Review event-related procedures and communications to maintain a high standard of quality, consistency, and professionalism across all attendee, exhibitor, sponsor, and internal touchpoints
• Continuously look for ways to improve workflow efficiency by combining strong operational discipline with AI-enabled support for content drafting, checklist management, data organization, and reporting
Here's What You Need:
• Bachelor’s degree in marketing, communications, or a related field
• Minimum of 2 years of professional experience, preferably in the technology space and with exposure to the trade show or event marketing industry
• Will also consider candidates with 2 years of experience in customer service, marketing, training, or event support roles within the trade show industry
• Strong customer service mindset with a commitment to delivering a high-quality internal and external experience
• Highly detail oriented with excellent communication, collaboration, and relationship-building skills
• Strong self-starter with exceptional time management, organization, and follow-through
• Comfortable working within a structured playbook while also identifying opportunities to improve process and execution
• Able to thrive in a fast-paced environment with multiple deadlines, stakeholders, and moving parts
• Strong written and verbal communication skills, sound judgment, and strong listening skills
• Creative and solutions oriented, with a fresh perspective on process improvements, event strategy, and team efficiency
• Demonstrated comfort using AI tools as a close working companion to support planning, drafting, prioritization, analysis, and execution.
• Experience with project management systems is a plus
• Technical Skills – Cvent Platform, Wrike, Marketo, Salesforce, Microsoft Office Suite, AI productivity tools for planning, writing, reporting, and workflow support
